Registration process

Your registration will be done in three main steps:

  1. 1) account creation:
    To be able to register to the User Forum, we kindly ask you to create an account at the HealthGrid portal. Please note that this account will not be used for any other purposes other than the EGEE User Forum.

  2. 2) choose your registration type:
    Full event or only some days, it's up to you!

  3. 3) payment method:
    You can choose between online payment with your credit card or bank transfer.

After finalising the third step, you are registered to the Third EGEE User Forum. Registration includes entrance to all sessions, demo and poster session and exhibition, coffee breaks, lunches, a networking drink on Tuesday evening and all conference material.

We offer you the possibility to sign up for a dinner at one of the following restaurants on Wednesday evening;

  • Le Caveau, 50 euros, min. 10 persons, max 24 persons
  • Le Chardonnay, 40 euros, min. 10 persons, max 29 persons
  • L' Oliven, 40 euros, min. 10 persons, max 35 persons
  • La Régalade, 40 euros, min. 10 persons, max 29 persons

If we do not reach the minimum number of people required, we will let you know and propose an alternative for you.

 

Payment

All bookings and payments of the registration fee and restaurants should be made through the registration portal.

Reservations will be handled on a "first-come, first-served" basis.

All payments are requested in euro.

Payment may be made securely using the on-line registration form by credit card or via bank transfer. Please note that participants are required to pay bank charges when paying by bank transfer.

If payment has not been received before the conference and no proof of transfer can be provided, on-site payment will be requested. (This will be refunded as soon as the transfered amount is received.) To cover the rest of the charges, checks and credit cards are also accepted on the conference site.

Cancellation Policy

A written notification of cancellation must be sent to the local organisers to validate and give the refund of the registration fee as follows:

  • before 30 December: the paid amount will be returned (except 30 euros handling fee and bank charges)
  • from 30 December to 13 January: 70% of the paid amount will be returned (except 30 euros handling fee and bank charges)
  • from 13 January to 3 February: 50% of the paid amount will be returned (except 30 euros handling fee and bank charges)
  • after 3 February: no refund is possible

Changes or cancellations must always be made in writing, by fax or by e-mail.

 

VISA requirements, Letter of invitation

Entrance to France is visa free for citizens of EU member countries and most other countries, but you are advised to check at the French embassies or consulates in your country.

Conference registrants who require invitation letters in order to process their VISA requests should correspond with local organiser via e-mail. Please make requests no later than the 15th of January to allow time for delivery via Postal Service or FAX.
